Terms and Conditions

These terms and conditions apply to all participants of photography workshops with Giulia Woergartner.
The terms and conditions below form part of the contract between myself (“me”, “Giulia Woergartner”,“I”,) and yourself (“participant”, “customer”, “you”)  and these are the basis on which any disagreement will be considered upon.

These terms and conditions are written in a way that is easy to understand and are set out to ensure all parties are aware of their responsibilities, allowing everyone to focus on learning and developing their skills.

By booking or reserving a spot in any workshops with Giulia Woergartner, you are acknowledging and agreeing to the terms and conditions set about below.

Customer Responsibilities
By booking or reserving a place in a workshop, participants are confirming that they have read the associated workshop description, content, prerequisites and physical requirements and meet all of these as set out on the booking page.

Insurance & Important Documents
It is your responsibility to ensure you have all necessary travel documents, visas, permits and full insurance (for both equipment as well as medical and travel) before the start of the workshop itself.

Description of Services
These workshops are intended to be interactive experiences where participants are provided with locations, advice and training by a professional photographer with the intention of improving your photography skills.

Fitness and Suitability
Workshops are designed with a specific level of physical fitness in mind.

All workshops are constructed in a way that is suitable for participants with a good level of physical fitness, and who will be able to spend an average of 2-3 hours per day walking and standing during our photography sessions.

In the case where a participant is unable to, or chooses not to, continue with any physical part of the workshop, steps will be taken to provide either an alternative location to shoot or a safe environment to rest during that period of the planned itinerary.

By booking or reserving a place in a workshop, you are confirming that you are over the age of 18 and legally responsible for your own actions.

No refund will be given for any non-participation of the tour, regardless of voluntary (ie. by choice) or involuntary reasons (ie. medical, fitness or other).

Participants must be in good physical health before the commencement of any workshop.

Prior to making a booking, participants are required to inform me of any relevant medical conditions that could have any impact on their ability to participate fully and/or could present a risk to anyone’s safety during the period of the workshop.

The natural environment of our workshop locations can be unpredictable and out of my control. I am unable to guarantee the climate or the weather. Therefore, if you have any life-threatening conditions or allergies, it is recommended that you withhold your application for the workshop.

You, as a workshop participant, understand that I am not a medical personnel and have no expertise as a medical doctor for the purposes of treatment and emergency care.

You are responsible for ensuring you have brought any necessary medication, prescriptions, or medical devices to the workshop location and are able to self-administer such items.

Fees and Payments
All bookings and/or reservations are incurred in two parts:

1) A non-refundable “deposit” / booking fee to secure your spot
2) Payment for the remaining balance of the total workshop cost

Your place and/or spot in the workshop is secured once you have made the deposit  and received the confirmation (usually within 48 hours of booking).

The remaining balance of the total workshop cost can be paid at any time, including a lump-sum (full) payment at the time of booking along with the deposit. However, the full amount must be paid-off at least 60 days prior to the start date of the workshop.

Failure to pay the remaining balance prior to the 60 days in advance of the workshop start date will result in the loss of your 'spot' or 'place' in the workshop, as well as the initial down-payment of the deposit already incurred.

Name changes can be made to your booking up to 120 days prior to the start date for a fee of 500€ per booking, per change. Name changes cannot be made after this date.

Cancellations made by you:

I understand that, due to external factors outside of your control, this may affect your plans to attend this workshop. However, due to the complex nature of these workshops, accommodation and transport involved, I will provide reasonable reimbursement of any monies paid according to the terms outlined below and based on the date you inform me of your request to cancel:
- More than 90 days before the workshop start date = No return on deposit, but Full Refund of the remaining balance if already paid in advance.
- Between 60 days and 90 days before the workshop start date = No return on deposit, but Partial Refund at 35% of the remaining workshop balance cost (excluding deposit) - if already paid in advance.
- Less than 45 days before the workshop start date = No return on deposit and Zero Refund on the remaining full amount of the workshop cost.

If you believe you may need to cancel, please contact me as soon as possible. It is much easier to consider alternative options earlier rather than later. In the case of a cancellation, it may be possible for a workshop booking to be transferred to another person (fees may apply).

Cancellations on my behalf:
I reserve the right to cancel any workshop prior to the start date due to factors beyond my reasonable control or unforeseen circumstances including any personal injury/illness.

In the event of any cancellations made by myself, the following options will be presented to you as my 'customer':

1) Full refund to you of any fees paid.
2) Transfer of workshop to an available equivalent workshop/travel opportunity in the future.

I reserve the right to cancel any workshop for any reason, and will provide the earliest possible indication if and when this may occur.
Once cancelled, any refund provided (or value transferred to an alternative future workshop) will consider my liabilities and obligations to you as a customer - fulfilled.

I am not responsible for any expenses, consequential losses or damages which may occur due to any cancellations by myself.

Itinerary Changes
The proposed itinerary is a rough outline of intended places to see - rather than a contractual obligation to visit each listed location.
It may be necessary to make amendments to the intended itinerary due to weather, transportation issues or other factors which can occur with little or no notice.
I reserve the right to change the itinerary of the workshop prior to, as well as during, the workshop itself at my own discretion.

Where I believe the continuation of the workshop is dangerous or may put people at risk, I reserve the right to offer alternative activities such as photography editing sessions.

You are responsible for all travel and associated costs involved with getting yourself to our initial meeting point as communicated and described on your booking acknowledgement. You are also responsible for all travel and associated costs involved with your return journey or any further travels from the agreed final location at the end of the workshop.

Between the initial meeting point and the final drop-off point on the itinerary, I am responsible for the organisation of all transportation during the workshop.
Transportation will be provided in the form of modern, air conditioned, vehicles with sufficient space for each participant to bring: 1 standard suitcase and 1 carry-on bag with them for the duration of the workshop.

Failure to arrive on-time at the agreed initial meeting point will result in the loss of such time from the workshop's overall itinerary, along with a charge for reasonable expenses to allow the leader to arrange any required accommodation and transport to bring the itinerary back on track. For this reason, I recommend ensuring your travel arrangements have sufficient time to allow for delays and interruptions prior to arrival.

It may be possible to join the workshop at a later point in the itinerary, but this will be performed at our discretion, following a discussion with you regarding when and where if possible.

On completion of the workshop itinerary, you may leave the location using your own transportation, or continue on with further accommodation and travel costs at your own expense.

As state under the Workshop section titled “Included”, appropriate accommodation will be provided by myself, and this will be subject to the term's and conditions laid out by the accommodation service providers themselves.

By utilising the accommodation booked by me, you (as a Workshop participant) agree to abide by and accept the term's and conditions laid out by the accommodation service providers independently of your contract with myself.

All accommodation (where provided) will be of a suitable and safe standard, with clean living areas and onsite facilities.

Should any workshop participant require an earlier check-in or late check-out for personal reasons outside of the agreed itinerary, and subject to availability, any additional charges or invoices billed by the accommodation provider will be forwarded on to the responsible persons for immediate payment in the settling of additional expenses.

Food & Drink, Laundry and Other Services/Items
Where specified, meals and drinks (alcoholic beverages are not included) will be provided throughout the duration of the workshop:

You will be provided either a standard breakfast or I will have a lunch box ready for you. The “Lunchbox” will be provided in the form of a light meal with a suitable complementary drink.

Dinner will be provided on the basis of: a standard two course meal (maximum two courses), or one large course plus a non-alcoholic drink with the meal.

All other additional food and drink (including room service items) will be considered optional and is under the financial responsibility of the customer who places the order.

Additional hotel expenses such as mini-bar use, spa services, telephone calls, laundry and other items not listed under the Workshop section titled "included" in the confirmation email, will be forwarded and payable by the participant either directly upon departure or billed home for immediate payment upon return.

All participants are responsible for ensuring they inform me of any dietary requirements prior to, and throughout, the workshop.

Drinking water and energy snacks will be provided throughout the workshop for the purposes of staying hydrated and fuelled during our longer shoots, but should not be relied upon as a source of sustenance. Please bring your own water bottle.

Any items of a personal nature, unless specified, are not included within the cost of the workshop and should be purchased by the individual where required.

Participants wishing to buy souvenirs or additional items during a workshop must provide or bring along sufficient funds for such purchases.

Equipment and belongings

Detailed within the workshop description and FAQ’s, you will find a list of required, recommended and suggested equipment.
You are responsible for making sure you have all the required equipment and that it is appropriately insured for your own sake.
I do not take any responsibility for any items lost, damaged or stolen during the workshop and it is essential that you take care of your belongings as well as having appropriate comprehensive insurance to cover all activities, locations and scenarios.

Failure to bring functionally working camera equipment will mean you are not able to take part in the practical elements of the workshop. In such cases, I will attempt to provide non-practical experience that is relevant to you and/or assist you in finding an alternative hire/rental solution at your own cost.

It is strongly recommended that participants bring their own "backup camera" in case of such unexpected failure.

It is a required condition upon booking a place in this workshop that you will agree to purchase comprehensive travel insurance (including trip cancellation, delay and baggage loss), medical insurance, external liabilities (ie. damage to belongings, transport and/or properties not your own), and personal property insurance for the duration of your time with me.

I reserve the right to refuse a participant's attendance with no refund, should I feel that participant has inadequate travel cover insurance.

I accept no liability for loss or damage to photography equipment or personal belongings for the reason of attending my workshops.

Weather and Force Majeure

From time to time, severe weather and issues outside of my control may have an effect on my ability to perform the workshop as described when you make your booking. In such cases, I will take reasonable steps to find alternative arrangements, which will continue to offer you photography learning skills, but this cannot be guaranteed.

I am not liable for any damages, losses or expenses arising from whatever cause including those resulting from acts of God, terrorism, detention, weather, strikes, civil disturbance, criminal activity, government interference or any other situation outside of my reasonable control.

Your privacy and the protection of your data is important to me.

In order to confirm your booking and provide you with appropriate services during your chosen workshop, I require to collect certain personal information as listed on your booking acknowledgement email.

You agree to me sharing any personal information, as is necessary, to confirm my arrangements (in the case of accommodation and transport) to my selected providers and third parties.

All information provided to me will otherwise be kept confidential and will never be sold to any other party. My systems are secured to prevent the loss of such confidential information.

By attending this workshop, you are giving me your permission and agreement to create and share images and videos of you for my own promotional purposes. This may include (but is not limited to) social media, website and offline marketing platforms.

I will make every reasonable effort to ensure the safety of all participants at all times and will highlight any hazards that I assess as posing any risk to you during the workshop.

You are solely responsible, however, for your own health as well as your personal safety at all times.

By accepting these terms of service, you are acknowledging that you are aware that travel, wherever it may be, and by whatever means, involves some inherent risk of injury, illness, death, loss, or damage to personal property, which may be caused by acts of nature, negligence or actions of others.

Privacy and Data Protection

I am the sole owner of the information collected on this site. I will only ever collect and have access to the information that you voluntarily give me via email or other direct contact from you. I will not sell or rent this information to anyone.
I will use your information to respond to you, regarding the reason you contacted me for. I will not share your information with any third party outside of my organisation, other than what is necessary to fulfil your request.
Unless you ask me not to, I may contact you via email in the future to tell you about specials, new products or services, or changes to this privacy policy.

Your Access to and Control Over Information
You may opt out of any future contacts from me at any time. You can do the following at any time by contacting me via the email address or phone number given on my website:

See what data I have about you, if any.
Change/correct any data I have about you.
Permanently delete any data I have about you.
Express any concern you have about my use of your data.

I take precautions to protect your information. When you submit sensitive information via the website, your information is protected both online and offline.

Whenever I collect sensitive information (such as credit card data), that information is encrypted and transmitted to me in a secure way. You can verify this by looking for a closed lock icon at the bottom of your web browser, or looking for "https" at the beginning of the web page address.

My Privacy Policy may change from time to time and all updates will be posted on this page.

You agree that I, along with any affiliated suppliers, hold no liability whatsoever for any injury, damage, loss, accident, delay, or any other incident which may be caused by (but not limited to) weather, force majeure, illness, strikes or other labour activities, overbooking or downgrading of services, supplier bankruptcy or insolvency, mechanical failure of transportation or for failure of any transportation to arrive or depart on time, negligence, defect, default of any company or person in performing these services.
In consideration of the benefits you receive from me through the provision of my services, you fully release me from all such liabilities or claims.

Complaints Procedure
In the case of any complaints or feedback, you must notify me of any issues at the earliest opportunity in writing via email to photo@giuligartner.com
In the first instance, I will attempt to resolve your issue within 14 days and propose an outcome that allows both parties to find mutual agreement.
If it is not possible to find a suitable outcome or a mutual agreement to your complaint, or if you remain unsatisfied, you must notify me again in writing within 7 days of my initial proposed resolution to you.

At my discretion, I may involve the use of an independent third party to come to a settlement in the case you remain unsatisfied with my proposal.
For the avoidance of doubt, where any issue is covered within these terms and conditions, the agreed outcome as described within such term will prevail.


By booking or reserving a spot in this workshop, you agree to abide by, and accept, these terms and conditions without exception.
